Privacy Policy

This is a reference translation. In case of any discrepancy, the Japanese version prevails.
Skix Inc. (“we,” “us”) establishes this Privacy Policy to appropriately handle users' personal information in providing Skix One (the “Service”).
1. Operator information
Company: Skix Inc. / Skix Inc. (Japan)
Address: Wizard Bldg. 402, 1-4-3 Sengen-cho, Nishi-ku, Yokohama, Kanagawa 220-0072, Japan
Data protection manager: Chong Pang

2. Information we collect
In providing the Service, we collect the following information.
・Information you enter (email address, name, company name, number of employees, inquiry content, etc.)
・Usage information (access logs, IP address, cookies, device/browser information, operation history, etc.)
・Data and credentials obtained, within the scope of your instructions and authorization, from external services you connect to the Service (Google Drive, freee, Money Forward, Slack, email, etc.)
3. Purposes of use
・To provide the Service, verify identity, authenticate, and execute the tasks you request
・To maintain and improve the Service, address defects, and develop new features
・To respond to inquiries, send important notices, and manage agreements
・To prevent violations of the Terms of Service and detect misuse
4. Provision to third parties
We do not provide personal information to third parties without your prior consent, except in the following cases.
・When required by law
・When necessary to protect a person's life, body, or property and consent is difficult to obtain
・When transmitting data to a connected service at your instruction
5. Subcontractors and external services
To the extent necessary to achieve the purposes of use, we may entrust operations to external providers (subprocessors) such as cloud infrastructure, AI / large language models (e.g., Google Gemini), email delivery, and payments. We appropriately supervise such providers.
Because the Service performs AI inference and generation in response to your instructions, data necessary for processing may be transmitted to the AI services above.
6. What the AI remembers from conversations (memory feature)
The Service's AI writes down short facts about how work gets done that come up in your exchanges with it, and uses them in later replies. What has been written down can be reviewed at any time on screen (“What Skix remembers”, inside “Grow your AI” in the left-hand menu) and deleted one item at a time or all at once.
Notes fall into those used across the whole company and personal ones used only when the user concerned is talking to the AI. Personal notes can be viewed and deleted only by that user; no other user, including tenant administrators, can view them. If a user account is deleted, that user's personal notes are deleted together with the change history. By contrast, where a company-wide note contains a personal name, deleting the account does not delete it.
We instruct the AI not to write down confidential information and credentials, sensitive personal information such as health conditions, or statements that would amount to an assessment of a person's performance at work. However, this is control by way of instructions given to the AI, and is not a complete guarantee. Details of what is written down, who can see it, how to delete it, and how records are retained are set out on a separate page, “What the AI remembers”.
7. Use of cookies
The Service may use cookies or similar technologies to improve convenience and analyze access. You can disable cookies in your browser settings, but some features of the Service may then be unavailable.
8. Security measures
To prevent leakage, loss, or damage of personal information and otherwise ensure its secure management, we take necessary and appropriate measures, including per-tenant data isolation, access permission management, encryption of communications, and audit logging of operations.
9. Retention period
We retain personal information for the period necessary to achieve the purposes of use, or for the period required by law, and appropriately delete information that is no longer needed.
10. Disclosure, correction, and suspension requests
You may request disclosure, correction, addition, deletion, or suspension of use of your personal information held by us. Please contact [email protected]. We will respond in accordance with law after verifying your identity.
11. Cross-border transfer
In providing the Service, your information may be handled on servers or by subcontractors outside Japan. We take appropriate protective measures in accordance with applicable laws.
12. Changes to this Policy
We may revise this Policy as necessary. We will announce material changes by posting on the Service or other means.
