What the AI remembers

Last updated:August 8, 2026

This is a reference translation. In case of any discrepancy, the Japanese version prevails.

The Skix One AI writes down short notes about some of what comes up in your conversations, and uses them in later conversations. This page explains, in plain language, what gets written down, who can see it, and how to delete it. This page forms part of our Privacy Policy.

What gets written down

Skix writes down, one line at a time, short facts from your conversations that look useful in future. For example, "approvals are handled together on Fridays" or "Sato is in charge of accounting" — things about how work gets done.

Notes fall into two groups. "Notes about the company" are used whenever anyone in the company talks to Skix. "Notes about you" are used only when you yourself are talking to Skix.

Notes about you contain only preferences about how you like to work: "keep replies short", "check with me first", "use this format", and so on.

There are three ways a note gets written: the AI decides to write one during a conversation; a note is extracted automatically after a conversation ends; or you write and edit notes yourself from the screen. Automatic extraction is switched on or off per company.

What we instruct the AI not to write down

We instruct the AI not to write down the following.

・Secrets such as passwords, API keys, access tokens, and bank account numbers. Not just the values themselves, but also clues such as where they were received or what they are used for.

・One-off trivia, and details of how the system works that can be looked up anyway.

・Anything that keeps growing, such as a list of business partners or a count of outstanding items.

We instruct the AI not to write the following into either kind of note — about the company or about you.

・Sensitive matters such as health conditions, medical visits or medication, family circumstances, and beliefs. These are not written down even if you bring them up yourself.

・Anything amounting to a judgment of how a person performs at work, such as "makes a lot of mistakes" or "is slow to respond". This holds even when it is second-hand.

For "notes about you", we additionally exclude the substance of the work itself, business partners, and amounts of money.

These are instructions, not a complete guarantee

The exclusions above are conveyed to the AI as written instructions. They are not enforced mechanically, so content that goes against those instructions can still be written down. In our own testing we have found gaps in the instructions, and we have revised the wording each time. That is why everything written down can always be reviewed on screen and deleted on the spot. If you find something that should not be there, please delete it.

Who can see it

"Notes about you" can be seen only by you. Your company's administrators cannot see them and cannot delete them.

"Notes about the company" can be seen by that company's administrators.

When the AI composes a reply, the notes relevant to that conversation are passed to the AI. Notes about you are passed only when you yourself are talking to Skix.

Our staff may review stored content only where necessary, such as when investigating a fault. Such handling follows the "Security measures" section of our Privacy Policy.

How to view and delete

Open "Grow your AI" in the left-hand menu and choose "What Skix remembers" to see everything currently remembered, one item at a time.

Delete items you do not want one at a time with "Make Skix forget this", or all at once with "Forget everything".

Note, however, that for a while after deleting on this screen you can still bring the items back with "Undo". We keep the previous state so that an accidental deletion is not a problem. This means that even after content disappears from the screen, the pre-deletion content remains in the change record.

How records are kept, and for how long

Every time a note is added or deleted, the new state is recorded and the previous state is kept, so that when something was remembered and when it was deleted can be traced.

We set no expiry period for the notes themselves. They remain for as long as your company continues to use the service. Handling on termination of the contract follows our Privacy Policy and Terms of Service.

When a user account is deleted, that person's "notes about you" are erased completely, together with the past records. Unlike the deletion that "Undo" can reverse, this cannot be undone.

By contrast, where a personal name appears inside "notes about the company" (for example, "Tanaka submits the approvals together"), deleting the account does not remove it. Notes about the company are records that other people also need, so they are deliberately not erased wholesale. To remove such a line, an administrator should delete it from the "About the company" tab of "What Skix remembers".

Where it is stored

Notes are stored in the database we operate, the same one that holds your other business data. We do not use any external service dedicated to memory (an outside cloud service that holds memories on our behalf).

The storage location and our approach to safeguards follow the "Security measures" section of our Privacy Policy.

Transmission to AI

When notes are written down, when they are tidied up, and when a reply is composed, the content of the conversation and of the notes is sent to a generative AI model. Our approach to such transmission follows the "Subcontractors and external services" section of our Privacy Policy.

If something is wrong

Notes are the AI's inferences from your conversations. They may contain things that are inaccurate or that have become out of date.

If you find a mistake, delete it with "Make Skix forget this". After deleting it, tell Skix the correct version in conversation and it will be written down again.

If you do not want this feature

The memory feature is switched on or off per company in our configuration. "Notes about you" can also be switched off on their own.

If you do not want to use it, please have your company's administrator contact us through our enquiry page.
